Why Arelvo
One system instead of a rep, a list, a spreadsheet and a reminder.
Arelvo continuously maps your territory, detects commercial properties and buying signals, finds the right decision-makers and their contact information, then launches personalized outreach. It follows up, qualifies replies, books prospects, analyzes meetings, drafts follow ups and next steps, and syncs every opportunity to your CRM, from market signal to sales pipeline, automatically.
Market → Building → Buying signal → Decision-maker → Contact → Research → Outreach → Follow-up → Qualification → Meeting → Meeting notes → Next step → CRM
The work you're paying for today
Commercial sales is mostly finding. Arelvo does the finding.
The bid board is where you find out last
By the time a commercial job is posted for bids, the owner has usually talked to someone. The building sold, the permit was pulled, the tenant signed — weeks earlier, in public records nobody on your team was watching.
Your best people spend their time finding, not selling
Figuring out who owns a building, who actually decides on mechanical work, and how to reach them is slow research. It's the part of sales that eats a rep's week and produces nothing you can bill.
Signals appear in places no one checks
Mechanical permits, property sales, ownership changes, renovations and new tenants are published every week across city and county systems. Checking them by hand, across a whole territory, every week, doesn't happen.
Follow-up depends on someone remembering
Most commercial deals need several touches. When outreach lives in a rep's inbox and a spreadsheet, follow-up happens when there's time — which is exactly when it's least likely to happen.
Tools that each do one piece
A list from one vendor, contacts from another, emails from a third, the CRM updated by hand at the end of the week. Every handoff between them is where an opportunity quietly goes stale.
No one can say what's actually working
Which signal led to the meeting? Which kind of building converts? When sourcing, outreach and the CRM don't share data, the answer is a guess.
The moment it clicks
If you’ve said one of these, this is for you.
“I have people doing this by hand.”
Someone on your team looks up owners, searches LinkedIn, builds lists, and chases follow-ups. Arelvo does that research and first-touch work every day, so their time goes to conversations.
“I pay several vendors to approximate this.”
A contact database, an enrichment tool, a sequencing tool, maybe an agency — and still no view of which buildings are actually in motion. Arelvo is one system from the building to the CRM.
“We're simply not doing this.”
Most contractors don't monitor permits, sales and ownership changes across their territory at all. That's not a cost on the P&L — it's work you never see and never get.
Compared with what you'd actually do instead
The real alternatives, side by side.

A good SDR can do much of this — for a few accounts at a time, during business hours, while they're not also chasing replies. Lists and databases give you names without timing. Agencies send volume from outside your systems. Intent data mostly tracks web browsing by software buyers, not the permits and sales that signal mechanical work. Arelvo is built for the buildings and signals a commercial HVAC contractor actually sells to.
Why one system matters
Opportunities die in the handoffs.
With separate tools, a permit gets noticed on Monday, the owner gets looked up on Thursday, the contact goes into a sequence the following week, the reply sits in someone's inbox, and the CRM is updated on Friday — if at all. Each step is someone's job, and each gap is time the building's owner spends talking to someone else.
In Arelvo it's one continuous record. The signal is attached to the building, the building to the company, the company to the decision-maker, the email to the evidence, the reply to the opportunity, the meeting to the reply, and the outcome back to the signal that started it. Nothing is re-typed, nothing waits for a person to pass it along, and every result teaches the scoring what to look for next.
The math
What $749–$2,339 a month is up against.
These are worked examples, not results. Swap in your own numbers — the logic is what matters.
Against one new contract
Base is $8,988 a year. If one preventive-maintenance agreement is worth, say, $25,000 a year and renews for three years, that one customer is $75,000 of contract value — about 8 years of Base.
Against one replacement project
A $150,000 rooftop-unit or chiller replacement at a 25% gross margin is $37,500 of gross profit — roughly 50 months of Base from a single job.
Against the research time
If it takes your team 20 minutes to research one building — owner, operator, the right person, their email — then 200 accounts a month is about 67 hours. At $40 an hour loaded, that's $2,680 a month on finding alone, before a single email is written or followed up.
Compare that with hiring: a rep dedicated to prospecting costs a salary, commission, benefits, a contact database and a sequencing tool, plus months to ramp — and covers a handful of accounts a day. Arelvo watches your whole territory every day, for $749 a month on Base, and your people spend their time on the prospects who wrote back.
And the cost of doing nothing isn't zero: it's the jobs that were decided before they reached the bid board, going to whoever called first.
Fair questions
The objections, answered straight.
“We get our work from relationships and bid boards.”
Keep them. Arelvo adds the jobs you'd otherwise never hear about in time — buildings that just sold, just pulled a permit, just signed a tenant — and gets you talking to the owner before there's a bid to lose. It checks your CRM first, so existing customers aren't cold-emailed.
“Facility managers don't answer cold email.”
Generic email doesn't get answered. Arelvo writes to one person about one building and a specific, documented reason — the permit, the sale, the renovation — and follows up on schedule. Reply rates depend on your market and offer; the difference is that every message has a real reason to exist.
“Will this hurt our email reputation?”
Arelvo checks your domain's SPF, DKIM and DMARC, starts a new mailbox slowly and ramps it (about 10 → 30 a day), stops a mailbox when bounces climb, and honours suppression lists and opt-outs. Or it sends from separate domains it sets up and warms for you, so your main domain is never involved.
“What if the AI says something wrong?”
Emails are written only from the account's documented evidence and your own company profile. A fact check holds anything that states something not in the evidence — a budget, an equipment model, a failure — for a person to review. In Copilot mode, nothing sends without your approval.
“We tried a lead list / an agency and it didn't work.”
Lists answer “who” but not “why now”, and agencies work outside your systems. Arelvo starts from the building and the buying signal, runs inside your own mailbox and CRM, and shows you every account, signal, email and reply.
“My market is too small for this.”
You can see for yourself before paying: the signup scans your actual territory and shows real opportunities in it. If there's nothing worth pursuing, you'll know in minutes.
“I don't have time to manage another tool.”
That's the point of it. Set your territory, services and target buildings once in a short conversation; Arelvo runs every day after that. Your team's job becomes answering interested replies and taking meetings.
“What if it doesn't produce anything?”
You see it before you pay: the signup scans your territory live and shows you real opportunities in your market. After you subscribe, your territory is live within one business day, and you can cancel any month.
Why it gets more valuable
The longer it runs, the more it knows about your market.
A living map of your market
Every building, owner and operator in your territory, with its permit and sale history — built up week after week. That history doesn't exist anywhere else.
Signal history on every account
When a building sold, what was permitted, who you talked to and what they said. Timing gets sharper the longer it runs.
Scoring that learns from your results
Which building types, signals and roles turn into meetings and won work in your market — measured from your own replies, meetings and CRM outcomes.
Your plays, voice and guardrails
Approved sales plays, your knowledge base, exclusions and do-not-contact lists — the way your company sells, encoded once.
Attribution in your CRM
Which revenue Arelvo sourced or influenced, recorded where your team already works.
What we won't claim
The straight version.
- Arelvo launched in 2026. There are no published customer results yet — the numbers on this page are worked examples with the assumptions shown, not outcomes we've measured.
- The first launch market is Charlotte, NC. Any US territory can be scanned, but public permit and property records vary by city and county; where a feed isn't available, Arelvo relies on map, website and news data.
- Contact coverage varies by account. Some buildings are held by single-property entities with no findable operator; Arelvo says so rather than guessing.
- HubSpot and Pipedrive are supported today. ServiceTitan is coming; other CRMs are custom work on Enterprise.
- New sending mailboxes start at a deliberately low volume — a few of the highest-priority emails a day — while warm-up runs in the background, and ramp up over the first few weeks.
