Last updated October 25, 2026. These Terms govern access to and use of Arelvo. Please read them carefully — they include limits on liability (section 25) and how disputes are resolved (section 26).
These Terms of Service ("Terms") are a contract between Arelvo, Inc., a Delaware corporation ("Arelvo," "we," "us") and the business that creates an Arelvo account or uses the service ("Customer," "you"). You accept these Terms by checking the box during signup, by clicking to accept an updated version, or by using the service. If you accept on behalf of a company, you confirm that you have authority to bind it.
Arelvo is for business use only. You must be at least 18 and using Arelvo for a business, not for personal, family or household purposes. If you and Arelvo sign an order form, it controls over these Terms where the two conflict.
Arelvo is sales intelligence software for commercial HVAC, mechanical and commercial cleaning companies. It maps commercial properties in your territory, detects buying signals from public records and other sources, identifies companies and decision-makers, scores and researches opportunities, automatically prepares an outreach campaign for each opportunity, and — once you approve each account — sends personalized outreach, follows up, classifies and drafts replies, plans call tasks and records how calls went, books and schedules meetings, records and summarizes the meetings booked through it, sends alerts to your team, and syncs your CRM. Arelvo AI lets your users ask about all of this and act on it in plain language.
We improve the Service continuously and may add, change or remove features. We won't materially reduce the core functionality of your paid Plan during a billing period. Features we label beta, preview or "coming soon" are provided as-is and may change or be withdrawn.
What Arelvo does automatically. For every open opportunity it finds, Arelvo looks up and verifies a decision-maker (using third-party data providers), researches the account and drafts an account-specific outreach campaign, and schedules call tasks for your team. It moves opportunities through their stages based on what happens — replies, bookings and meeting outcomes (for example, marking an opportunity lost when a meeting shows it isn't a fit) — and drafts replies to prospects for you to send or edit.
Arelvo works in Copilot mode: Arelvo recommends and you approve. Drafted campaigns wait as "Not active" and nothing is sent until you approve that account's campaign; each later email waits for your review before it sends, and Arelvo never sends a reply for you. You can pause, stop or take over any campaign or conversation, or stop all outreach at once, at any time. Emails that Arelvo's fact check flags, and replies that touch on pricing or commitments or need facts not in your knowledge base, are held for a person in every mode.
First week. New sending domains need time to build a reputation. Arelvo recommends waiting seven days from when your account starts before launching campaigns, and Arelvo doesn't suggest starting campaigns during that week. You may still activate campaigns yourself; if you do, you accept that emails from new domains are more likely to be filtered as spam and that early complaints can affect the domains for longer.
Learning from results. Arelvo always learns from your workspace's results — replies, meetings, call outcomes and the notes your users log about calls, and won and lost deals — and uses them, within your workspace, to automatically adjust your scoring, playbook priority and targeting and to improve the emails and call scripts it writes for you ("auto-optimize"). This is part of the Service and can't be turned off. Every automatic change is recorded in Analytics with what changed, why and when, and you can undo any of it. Arelvo stops contacting a person or account on its own only for objective reasons — an unsubscribe, an invalid or bouncing address, a duplicate, an account outside your territory or on your exclusions, or a finished sequence; for performance-based decisions it lowers priority rather than pausing. You can change your targeting, playbooks and guardrails at any time.
Messages Arelvo sends are sent on your behalf and in your name. You're responsible for the plays, content and settings you approve, and for reviewing Output before relying on it where the stakes call for it.
Your users can ask Arelvo AI about your workspace and ask it to act — for example, to draft or send an email, change an account's outreach sequence or the emails in it, find a decision-maker, log how a call went, book or schedule a meeting, email a booking link, start or pause outreach, mark a deal won or lost, or add a person or company to your do-not-contact list.
You are the sender of the outreach you run through Arelvo, and you agree to use it lawfully. In particular, you will:
Arelvo helps you comply — it adds an opt-out line and an unsubscribe header to outreach, adds the business mailing address you provide, stops a sequence as soon as someone replies or opts out, maintains suppression lists, enforces sending limits and cooldowns, and checks your CRM for existing customers — but these tools don't replace your own responsibility for your messages. Decision-maker contact details come from third-party data providers and public sources and may be inaccurate; you're responsible for how you use them.
Arelvo plans call tasks for your team and shows each one with the number, an opening line and the account's history. Your users make the calls themselves and then log how each went — in the Tasks list or by telling Arelvo AI.
A logged call changes what happens next for that account, as Arelvo explains when it's logged — for example: sending your booking link to someone interested; holding emails until a requested follow-up date; creating a call-back task; rewriting the account's remaining emails and call script from the conversation; or stopping outreach for someone not interested or the wrong person. After a call, Arelvo may offer to draft a follow-up email; it goes in the account's existing email thread, only when the user sends it, and the sequence's next automatic email then waits so the recipient doesn't get two in a row.
Log calls accurately — Arelvo relies on what your users record. Don't record a call or enter notes about it in a way the law doesn't allow, and don't put sensitive personal information (such as health or financial details) in call notes. Call outcomes and notes are Customer Data.
Arelvo finds decision-makers, business email addresses and phone numbers from company websites, public sources and third-party data providers, verifies email addresses before they're used, and limits paid lookups (by account, by month and by Plan) to the accounts most worth them. These sources vary in coverage and accuracy, and a provider can be unavailable, change its service or run out of capacity — when that happens, Arelvo pauses the affected lookups, says so in the product and retries later.
Arelvo doesn't guarantee that a decision-maker, email address or phone number will be found for any account, that one found is current or correct, or that an address verified as deliverable will receive or read your email. Labels such as "high priority", scores and recommended contacts are estimates (see AI-generated output). You can add or correct contacts yourself at any time.
When you connect a Connected Service, you authorize Arelvo to access it within the permissions you grant — for example, to read and write CRM records (Arelvo adds the accounts it contacts, notes on replies and meetings, and deals once a meeting is booked), to check when you're busy on the calendars you choose and add the meetings prospects book (Arelvo Booking), to receive bookings from Calendly and send meeting links, or to post alerts to the Slack or Microsoft Teams channels you choose — solely to provide the Service to you. You confirm you're entitled to grant that access. You can disconnect at any time in Arelvo and revoke access in the provider's own settings. Your use of a Connected Service is governed by your agreement with its provider, and Arelvo isn't responsible for Connected Services or their availability.
Arelvo Booking. If you use Arelvo's booking link, prospects see open times worked out from the booking hours and rules you set and the busy times on the calendars you connect; Arelvo doesn't read your events' contents. When someone books, Arelvo creates the event on the assigned person's calendar with the location you chose, invites the prospect, links the meeting to the matching account and opportunity, stops that account's outreach sequence, updates your CRM, and sends the prospect a confirmation and reminders with a link to reschedule or cancel. You're responsible for the booking hours, locations and questions you set, and for honouring the meetings booked. Each teammate you add connects their own calendar, and you confirm they've agreed to it.
Scheduling for a prospect. A user can also schedule a meeting with a prospect at a time they choose, have Arelvo AI book one, or email the prospect a booking link. Arelvo sends the invitation, confirmation and reminder emails on your behalf and adds the meeting to that user's Tasks (and calendar, when one is connected). Each user sets their own availability. If a user hasn't connected a calendar, Arelvo works from the availability they set and the meetings Arelvo itself booked, can't see their other commitments, and says so when they book — you're responsible for avoiding double bookings and for keeping the meetings your users schedule.
When a prospect books a video meeting through the calendar link Arelvo sends, Arelvo sends a notetaker (shown in the call as "Arelvo Notetaker") to join, record and transcribe the meeting, and then writes a summary — needs, objections, timing, next steps — that it stores with the meeting, uses to update the opportunity and may add to your CRM. The recording, transcript and summary are Customer Data.
Some places require every participant's consent before a call is recorded. You are responsible for giving any notice and obtaining any consent that the law requires from everyone on the call, and for not recording anyone who objects — you can remove the notetaker from any meeting, or ask us to turn recording off for your workspace.
Output is generated with the help of AI and from data that may be incomplete or out of date. Scores, priority labels, estimated values, service-line suggestions, likely needs, contact details, call scripts, Arelvo AI answers and meeting summaries are estimates to support your judgment, not statements of fact or guarantees. Arelvo shows the source of the facts it relies on and labels inferences, but you are responsible for decisions you make using Output. As between you and Arelvo, you own the emails and other Output generated for your workspace, subject to our rights in the Service itself.
You won't, and won't let anyone else:
The Service relies on third-party providers (for example for hosting, business contact and property data, email verification and delivery, AI processing and payments) and connects to Connected Services you choose. We choose our providers carefully and are responsible for the Service as described in these Terms, but we're not responsible for third-party products you use independently or for changes a third party makes to its own services. If a provider we depend on changes or discontinues a feature, we may change the affected part of the Service.
Each party will use the other's non-public business information that is marked or reasonably understood to be confidential only to perform under these Terms, protect it with at least reasonable care, and disclose it only to people who need it and are bound by similar obligations. This doesn't cover information that is public through no fault of the recipient, was already known to it, is independently developed, or is rightfully received from someone else. A party may disclose confidential information when legally required, with notice to the other where permitted.
Arelvo and its licensors own the Service, its software, designs, models, workflows and Arelvo Data, and all related intellectual property. You receive a non-exclusive, non-transferable right to use the Service during your subscription under these Terms. Nothing transfers ownership of either party's pre-existing intellectual property. If you send suggestions or feedback, we may use them without obligation to you.
Arelvo uses reasonable administrative, technical and physical safeguards designed to protect Customer Data, including encryption in transit and encryption of connection credentials at rest. If we become aware of a security incident that compromises Customer Data, we'll notify you without undue delay and provide information reasonably available to help you respond.
We may suspend all or part of the Service, or pause outreach, if payment is overdue as described above; if your use violates these Terms or the law; if it poses a security risk or is likely to harm the Service, other customers, or the reputation of Sending Mailboxes or domains (for example, high bounce or complaint rates); or if required by law. Where practical we'll give notice first and restore the Service promptly once the issue is resolved.
Each party confirms it has the authority to enter into these Terms. Arelvo will provide the Service with reasonable skill and care, and it will perform materially as described in our published materials.
Except as expressly stated in these Terms, the Service, Arelvo Data and Output are provided "as is" and "as available." To the maximum extent permitted by law, Arelvo disclaims all other warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement and accuracy. Arelvo does not guarantee that the Service will be uninterrupted or error-free, that data is complete or current, that emails will be delivered or answered, or that you will get any particular number of opportunities, replies or meetings, or win any particular customer, contract or revenue.
By you. You will defend and indemnify Arelvo against third-party claims, and related losses and reasonable costs, arising from your Customer Data, the messages you send or approve through the Service, your violation of the Outreach and Acceptable Use sections, or your violation of law.
By Arelvo. Arelvo will defend and indemnify you against third-party claims that the Service, as provided by Arelvo, infringes that party's intellectual property rights, and pay resulting damages finally awarded or agreed in settlement. This doesn't apply to claims caused by Customer Data, Connected Services, your modifications, or use in breach of these Terms. If such a claim is made, we may modify the Service, obtain a licence, or end the affected part and refund prepaid fees for it.
The indemnified party must promptly notify the other, give it control of the defence and settlement (no settlement may impose obligations on the indemnified party without its consent), and reasonably cooperate.
To the maximum extent permitted by law: (a) neither party will be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, business opportunities or data, even if advised of the possibility; and (b) each party's total liability arising out of or relating to these Terms will not exceed the fees paid and payable by you to Arelvo in the 12 months before the event giving rise to the claim.
These limits don't apply to your obligation to pay fees, to either party's indemnification obligations, or to liability that can't be limited by law.
These Terms are governed by the laws of the State of Delaware, without regard to its conflict-of-laws rules. Before starting a legal proceeding, the parties will try in good faith to resolve a dispute by written notice and discussion for at least 30 days. The state and federal courts located in the State of Delaware have exclusive jurisdiction, and each party consents to them. Each party waives any right to a jury trial, and claims may be brought only individually, not as part of a class or representative action. Either party may seek injunctive relief in any competent court to protect its confidential information or intellectual property.
We may update these Terms. We'll change the date at the top, and for material changes we'll give at least 30 days' notice by email or in the product (unless the change is required sooner by law). We may ask you to accept the updated Terms to keep using the Service. If you don't agree to a change, you can cancel before it takes effect.
